Privacy policy

How the Nordspann app and website handle your account, your kennel records and the GPS tracks you record.

Last updated 4 November 2026

Nordspann is an app for sled-dog kennels. It keeps the kennel's dogs, trainings, GPS tracks, routes, tasks and team in one place. To do that it needs some data about you and, while you record a training, your location. This page explains what we collect, why, who sees it and what you can ask of us.

1. Who we are

Nordspann (also "we", "us" or "our") makes the Nordspann app and runs this website. We are the controller for the personal data described on this page, unless we say otherwise below.

You can reach us at privacy@nordspann.com.

2. What this policy covers

This policy applies to the Nordspann app on iOS, Android and the web, and to this website. It applies to you if you have a Nordspann account, if you have been invited to a kennel on Nordspann, or if you visit this website or send us a message.

Nordspann is used by kennels. The kennel that invited you decides who is on its team and what the kennel records. For data that the kennel enters about its own work, such as training notes or tasks that mention you, the kennel is responsible for that content and we process it on the kennel's behalf. Questions about that content go to your kennel's administrator first.

3. What data we collect

Your account

  • your first name, last name and email address;
  • your password, stored only as a secure hash so we cannot read it;
  • the kennel you belong to and your role in it;
  • your time zone, taken from your device when the kennel is created;
  • your display preferences inside the app, such as how lists are sorted.

There is no social login and we do not ask for a phone number, photo or date of birth.

Kennel records

Everything the kennel records in the app: dogs, trainings and their lineups, routes, notes and tasks. These records carry the name of the team member who created, changed or completed them. Dog data is not personal data, but notes and tasks can mention people.

The kennel may also store its own location, used as the default for weather and for searching places nearby.

Location data

While you record a training with the GPS tracker, we collect your position. Section 4 describes this in detail.

Technical data

  • the device or browser you sign in with, so you can see and sign out your own devices;
  • when you were last active, and when you signed in or out;
  • your IP address, as part of the connection to our servers and in server logs;
  • error and diagnostic logs from our servers. Failed sign-in attempts are logged with a shortened hash of the email address, not the address itself.

Invitations

When a kennel invites you, we store the invitation, the role it carries, who created it and when it was accepted. The invitation link is shared with you by the person who invited you. We do not send it by email ourselves.

This website

This website sets no cookies of its own and uses no analytics or advertising scripts. Your choice of light or dark theme is kept in your own browser and never sent to us. When you use the contact form, we receive your name, email address, the kennel name if you fill it in, and your message.

4. Location data

Location is the most sensitive data the app handles, so here is exactly what happens.

  • Only while recording. The app reads your position only after you start the GPS tracker for a training, and stops when you stop it. It does not track you at other times.
  • In the background. A training can take hours and the phone is usually in a pocket. The app therefore asks for permission to keep recording while the screen is locked or another app is open. On Android this shows as a persistent notification while a track is running.
  • What is recorded. For each point: time, latitude, longitude, accuracy, altitude and speed. The app keeps about one point every ten seconds or three metres and drops points that are less accurate than fifty metres.
  • Where it goes. Points are kept on your device until they have been sent to our servers, which happens every thirty seconds while recording. From the track we derive distance, moving time, rest time, top speed, climb and stops.
  • Who sees it. The track belongs to the training, and every member of your kennel can open that training, including while you are still out. The app also shows your kennel members that you are recording and your first name.
  • Weather. To record the temperature of a training, we send the starting position of the track, rounded to about one kilometre, to the weather service Open-Meteo. No account data is sent with it.
  • Maps. Map tiles come from OpenStreetMap and OpenTopoMap. Your device requests the tiles for the area you look at directly from those services, which means they see your IP address and which map areas you view.

You can switch location permission off at any time in your phone's settings. The tracker will then not work, but the rest of the app will.

5. Why we use your data

We may only use your personal data when the law gives us a basis for it. These are the purposes and the basis for each.

A. To run the app for you and your kennel

Your account, the kennel records and your GPS tracks are what the app is for. Without them there is nothing to show. Basis: performance of the agreement under which you and your kennel use Nordspann.

B. To keep the app secure and working

Session and device data, server logs and error reports let us keep accounts safe, find faults and fix them. Basis: our legitimate interest in a secure and reliable service.

C. To answer you

When you write to us through the website or by email, we use your details to reply. Basis: our legitimate interest in answering the people who contact us.

D. To meet legal obligations

In some cases the law requires us to keep or hand over data. Basis: a legal obligation.

We do not use your data for advertising, we do not profile you and we do not sell data to anyone.

6. Who we share data with

Inside the app, your name and email address are visible to the other members of your kennel, and the kennel's records, including your tracks, are visible to the whole team.

Outside the app, we share data only with providers who help us run the service. They act on our instructions, may use the data for nothing else, and must delete it when they no longer need it for us. At the moment these are:

  • Laravel Cloud, which hosts our servers and database;
  • Vercel, which hosts the web app, app updates and this website;
  • Better Stack, which stores our server logs;
  • OpenStreetMap and OpenTopoMap, which serve map tiles to your device;
  • OpenStreetMap Nominatim, which we ask to find places by name when you search for a location;
  • Open-Meteo, which gives us the temperature for a training based on a rounded position.

We may also share data when the law requires it, or to protect our rights or the safety of our users.

7. Data outside the EEA

Some of the providers above store or process data outside the European Economic Area. Where that happens, we rely on the safeguards the GDPR provides for such transfers, such as the European Commission's standard contractual clauses or an adequacy decision.

8. How long we keep data

  • Account data is kept as long as your account exists. When you leave a kennel, your account is deactivated and your sign-in tokens are removed. You can ask us to delete your account entirely; see section 10.
  • Kennel records, including trainings, tracks, routes and tasks, are kept for as long as the kennel uses Nordspann. Records that a team member discards are hidden from the app, and we remove them on request.
  • Sign-in sessions expire after thirty days of inactivity. Device tokens expire after roughly a year, and sooner when you sign out.
  • Server logs are kept for a limited period for troubleshooting and then deleted.
  • Messages sent through the contact form are kept as long as the conversation needs them.

Where the law requires us to keep records longer, we follow that period.

9. How we protect data

We take appropriate technical and organisational measures against loss, misuse and unauthorised access. Among other things:

  • all traffic between the app, this website and our servers is encrypted;
  • passwords are stored as salted hashes;
  • each device gets its own sign-in token, and you can sign out other devices;
  • access to our systems is limited to the people who need it;
  • our hosting providers keep backups and run current, patched software.

If you believe your data is at risk or you have found a security problem, write to privacy@nordspann.com.

10. Your rights

You have the right to:

  • see the personal data we hold about you;
  • have it corrected;
  • have it deleted, including your whole account;
  • receive a copy of it in a common format;
  • object to, or ask us to limit, a particular use of it.

You can change your name, email address and password yourself in the app. For anything else, including deleting your account, email privacy@nordspann.com from the address on your account. We answer within four weeks. If a request concerns data that belongs to your kennel, we may need to involve the kennel's administrator.

Before acting on a request we check that it really comes from you, for example by replying to the email address on your account.

You also have the right to complain to a data protection authority. In the Netherlands that is the Autoriteit Persoonsgegevens; in Sweden, the Integritetsskyddsmyndigheten.

11. Children

Nordspann is a tool for people who run or work in a kennel. It is not aimed at children under sixteen and we do not knowingly collect data from them. If you think a child has an account, let us know and we will remove it.

This website and the app link to other websites, such as map providers. This policy does not cover those sites. Read their own privacy policies to see how they handle your data.

13. Changes to this policy

We update this page when the app changes in a way that affects your data. The date at the top tells you when it last changed. For important changes we will tell you in the app.
